The problem may be that the order has not yet appeared in the ICOES order system because the order procedure has not been fully completed.
Check the following steps:

  • Once you have pre-paid the ICOES certificate, the order is not placed automatically. After completing your course, on your personal account (e.g. called student account or virtual campus) at your course provider go to the account menu to order the document.
  • On the main menu, you should access the button: Redeem Certificate.

This is how the ICOES dispatch order number is generated.

It is also possible that in your student account an old email address is still registered, in this case that is where the digital certificate was sent.

Please note that we send out weekly batches on Tuesdays and orders for this batch must have been placed the Sunday before.
Time frame for delivery is as following:

Standard mail:

EU 8-14 working days (Monday-Friday)
ROW 10-24 working days (Monday-Friday)

Track & Trace shipment:

EU 4-10 working days (Monday-Friday)
ROW 8-18 working days (Monday-Friday)

Express delivery:

6 to 9 working days (Monday-Saturday)

When a certificate is sent out by regular mail, it does not have a tracking code, as stated when ordering. The shipment date is the Tuesday after ordering and the time frame for delivery is as indicated when ordering.
Once arrived in the countries of destination the packages are handled by the local post officesand at that point,we no longer have any insight into the status.
We can only provide information about the shipment status of shipments with Track & Trace or sent by Express delivery.

Legalization or notarization of the ICOES certificate can be done by any notary public in your country. The notary can verify the certificate on our website or can get in touch with us at certificates@icoes.org. You may be asked to have the notary document apostilled. An “apostille” is a certification form set out under 1961 The Hague Convention that abolished the requirement of legalization for foreign public documents. Depending on your country of residence, the apostille can be obtained through the ministry of Justice, through commercial agencies, or through the embassy of the country where the notary resides. Although the ICOES certificate was issued in The Netherlands, the Dutch embassy nor any other embassy will be able to legalize the ICOES certificate directly, since ICOES is not a public or governmental institution. (Embassies or consulates generally only certify public documents, like passports, driver licenses and birth certificates.)
Verification of your ICOES certificate can be done directly through ICOES. With your full name and your certificate number, any interested party (e.g. a school, company or institute to which you have presented your ICOES certificate) can verify the authenticity of your certificate on the ICOES webpage (https://icoes.org/verify-certificate/). Furthermore, at your behest, any interested party can reach out to us directly, and we will verify your information and course completion for them. You can send an email to certificates@icoes.org and let us know your certificate choice, and regarding the hard copy certificate by which shipment method. We will then send you the corresponding invoice by Paypal and once we have received the payment, and verified your course details at your course provider the order will be dispatched.

ICOES is a well-established accreditation institute that aims to improve the educational standards of online teaching institutions. This means that ICOES itself is not a course provider, but it is an accreditation institute that accredits the educational course offering of a large number of course providers.
If you have successfully completed your course, you are able to download the documents issued by your course provider on their website.
The ICOES certificate shows that you have completed a course that is accredited by ICOES. Your certificate is issued on the basis of the information that ICOES receives from the course provider. This means that the ICOES certificate is a proof of successful completion that the student can purchase besides or instead of the certificate from their relevant course provider.

At ICOES we issue our certificates on the basis of the information that we receive from the course providers that we work with. On the website of the course provider an example of the ICOES certificate is shown when ordering, which only mentions general grades (such as Merit, Pass, Distinction etc). This is the grading that we receive from the course providers. We have no further insight into final grades or more specific figures. For documents with this more detailed information please contact your course provider directly.

At ICOES we can only help out with order problems once the orders have reached our system. Since placing the order goes through your course provider, please contact them in case you have any problems with this. We have no insight into the order systems of the large amount of course providers with whom we work.

The ICOES certificate is an additional certificate to the certificate of your course provider. Since we accredit many different educational institutions worldwide, we generate our own certificate with corresponding unique ICOES certificate numbering.
Therefore, the ICOES certificate has a different number than the number on your course provider’s certificate.

This means that the courses of these course providers meet the quality standards as set by ICOES and that they are subject to our annual review process.
However, ICOES is not a governmental institution, so we are not authorized to grant legal recognitions. What we do is review the quality level of teaching institutions, and we only partner with institutions that meet a certain quality level.

Whether or not a particular ICOES certificate in respect of a completed course will be recognized as sufficient proof of skill or knowledge for application with a specific institute, company or for professional certification is impossible to say. Standards for admission, employment or qualification vary widely, and they are set by tens of thousands of individual organizations worldwide. Also, ICOES is not a governmental institution so we are not authorized to grant legal recognitions. What we do is review and assess the quality level of online teaching institutions against our quality standards, and we only grant accreditation to institutions that meet a certain quality level.

For that reason, we can say that the courses of institutes accredited by ICOES are generally a good help in pursuing a successful career in the relevant field. In case of TEFL/TESOL certificates, in our experience these courses of the educational institutes accredited by ICOES are generally recognized since TEFL/TESOL is a general standard. However, specific requirements may be set by schools or employers.

Whether or not you are legally entitled to perform in a certain profession is not something that ICOES can determine, because this depends on the legal rules and requirements of each country. ICOES sends its certificates to students all over the world, and you will understand that it is impossible to know the legal rules of all 200+ countries and verify those rules against the content of the hundreds of courses it has accredited. Apart from that, ICOES is not authorized to grant any such permissions in those countries, as it is not a governmental institution.
Nonetheless, our certificates are used in many countries as a proof that certain skills and knowledge have been acquired by completing a particular course.

On completion of the course the overall score % will be converted into one of the following grades:

Pass: 55% – 64%
Pass Plus: 65% – 74%
Merit: 75% – 84%
Distinction: 85%
